Cancellation, Refund, Shipping & Product-Specific Policy

1. Introduction
At ChickCoop® Farm Private Limited ("ChickCoop®", "Company", "we", "our", or "us"), we strive to provide high-quality poultry products, livestock, feed, veterinary medicines, agricultural technologies, and farm management solutions to farmers, distributors, institutions, and commercial buyers across India.
Many products supplied by ChickCoop®, including live poultry, day-old chicks, hatching eggs, animal feed, medicines, and farm technology equipment, require immediate processing, quality inspection, packaging, biosecurity compliance, transportation planning, and coordination with logistics partners.
By placing an order through our website, mobile application, sales representatives, distributors, telephone, email, WhatsApp, or any other official sales channel, the customer confirms that they have read, understood, and agreed to this policy.
2. No Cancellation Policy
Once an order has been successfully placed and confirmed by ChickCoop®, it immediately enters the Company’s internal processing system. Depending on the product ordered, processing may include procurement, hatchery scheduling, feed production, medicine allocation, quality inspection, packaging, veterinary inspection, documentation, logistics planning, and transportation booking.
Orders are not eligible for cancellation under circumstances including:
- The customer changes their mind after placing the order.
- The customer orders the wrong product, quantity, breed, size, or variant.
- The customer no longer requires the product.
- The customer finds another supplier after confirming the order.
- Processing, procurement, packaging, or dispatch preparation has commenced.
- Railway, courier, cargo, or road transportation has been scheduled.
- The product has been specially produced, reserved, procured, or customized for the customer.
3. No Refund Policy
Due to the perishable, biological, pharmaceutical, customized, and transportation-sensitive nature of many ChickCoop® products, all confirmed sales are considered final.
ChickCoop® does not ordinarily provide refunds, returns, exchanges, or cancellations after an order has been confirmed and accepted.
- Change of mind after purchase.
- Incorrect product selection by the customer.
- Incorrect or incomplete delivery information.
- The customer’s inability or refusal to receive the shipment.
- Failure to provide required identity or address documents.
- Delays caused by transporters, railways, couriers, authorities, weather, strikes, or force majeure events.
4. Exceptions to the Refund Policy
In exceptional circumstances, ChickCoop® may provide a replacement, repair, credit, refund, or another suitable resolution where:
- An incorrect product was dispatched by ChickCoop®.
- The product was damaged before dispatch due to Company handling.
- A manufacturing defect is verified by the Company.
- A refund or replacement is required under applicable law.
5. Feed Products Policy
This section applies to poultry feed, layer feed, broiler feed, breeder feed, concentrates, supplements, mineral mixtures, feed additives, nutritional products, and other feed-related products.
5.1 Cancellation
Feed orders cannot be cancelled after confirmation because inventory allocation, packaging, loading arrangements, and logistics planning may begin immediately.
5.2 Refund and Return
Feed products are non-returnable and non-refundable after dispatch. Once feed leaves the Company’s premises, its storage, exposure, handling, and transportation conditions cannot be independently verified.
5.3 Dynamic Shipping Charges
- Delivery distance and destination.
- Total quantity, weight, and number of bags.
- Indian Railways freight charges.
- Courier, cargo, or road transportation charges.
- Loading and unloading expenses.
- Labour and worker charges.
- Packaging and handling expenses.
- Local vehicle and last-mile delivery charges.
- Taxes, fuel surcharges, and other logistics expenses.
The shipping amount shown on the website may be provisional. ChickCoop® may dispatch feed through Indian Railways, road transportation, courier services, cargo operators, or another suitable transportation method.
The customer shall be responsible for paying the applicable shipping, railway, courier, labour, loading, unloading, handling, and transportation charges. Dispatch may be withheld until all applicable charges have been paid.
6. Day-Old Chicks, Poultry Birds & Hatching Eggs
This section applies to day-old chicks, broiler chicks, layer chicks, native chicks, country chicks, breeder chicks, live birds, hatching eggs, fertile eggs, and other live poultry products.
6.1 Cancellation and Refund
No cancellation shall be permitted after hatchery scheduling, incubation planning, production allocation, vaccination, documentation, or dispatch preparation has commenced.
Live chicks, poultry birds, and hatching eggs are non-returnable and non-refundable after dispatch because of animal welfare, disease prevention, health, and biosecurity requirements.
6.2 Additional Transportation Invoice
ChickCoop® may issue an additional invoice at the time of shipping to cover railway booking, cargo charges, dedicated vehicles, courier charges, labour, loading, unloading, handling, veterinary compliance, packaging, and other transportation-related costs.
6.3 Customer Verification Documents
Customers may be asked to provide identity and address verification documents to validate the receiver and satisfy the requirements of Indian Railways, courier partners, cargo operators, veterinary authorities, transport agencies, or government departments.
- Aadhaar Card.
- Voter ID.
- Driving Licence.
- Passport.
- PAN Card, where applicable.
- Utility bill or other address proof.
- GST or business registration document.
- Any other government-approved identity or address proof.
7. Veterinary Medicines & Animal Healthcare Products
Medicines, vaccines, vitamins, minerals, supplements, disinfectants, pharmaceutical products, and animal healthcare products cannot ordinarily be returned after dispatch or delivery because their handling, storage temperature, contamination risk, and integrity cannot be verified.
- No cancellation after dispatch.
- No return after delivery.
- No exchange after delivery.
- No refund except where required by law or approved by the Company.
8. FarmTech Products Policy
This section applies to FarmSence.ai devices, IoT systems, smart farm equipment, automation controllers, sensors, cameras, electrical equipment, feeders, drinkers, farm machinery, software licences, and other agricultural technology products.
FarmTech products cannot ordinarily be cancelled after procurement, configuration, customization, dispatch scheduling, or shipment.
FarmTech products are generally non-refundable. Where an incorrect product, verified manufacturing defect, or confirmed transit damage is reported within the prescribed period, the Company may provide inspection, repair, replacement, credit, or another appropriate resolution.
Damage caused by misuse, improper installation, unauthorized repair, voltage fluctuation, water exposure, negligence, accidental damage, unauthorized alteration, or failure to follow operating instructions shall not ordinarily be covered.
9. Delivery Delays
Delivery dates are estimates and may be affected by railway delays, courier delays, road closures, transport strikes, adverse weather, floods, natural disasters, government restrictions, veterinary inspections, biosecurity requirements, public holidays, or circumstances beyond the Company’s reasonable control.
10. Company’s Right to Refuse Orders
- Fraudulent or suspicious activity is identified.
- Payment cannot be verified.
- The product becomes unavailable.
- A technical or pricing error is identified.
- Shipment is prohibited or restricted by law.
- Required regulatory or transportation compliance cannot be completed.
11. Limitation of Liability
To the fullest extent permitted under applicable law, ChickCoop® Farm Private Limited shall not be liable for indirect, incidental, special, punitive, or consequential losses arising from the purchase, transportation, delivery, storage, handling, installation, or use of its products.
Where liability is established, the Company’s maximum liability shall ordinarily not exceed the amount paid by the customer for the affected product.
12. Customer Acknowledgement
- The customer has read and understood this policy.
- Confirmed orders are generally final and non-cancellable.
- The customer accepts the applicable refund and replacement conditions.
- The customer agrees to pay applicable shipping, railway, courier, labour, handling, loading, unloading, and transportation charges.
- The customer agrees to provide verification documents where required.
- The customer understands that feed shipping charges for orders of 25 kg and above are dynamic.
- The customer understands that an additional transportation invoice may be issued for live poultry orders.

Many of the products supplied by ChickCoop®, including live poultry, day-old chicks, hatching eggs, animal feed, medicines, and farm technology equipment, require immediate processing, quality inspection, packaging, biosecurity compliance, transportation planning, and coordination with logistics partners. Once an order is accepted, considerable operational resources are allocated specifically for that customer’s purchase.
By placing an order through our website, mobile application, sales representatives, distributors, telephone, email, WhatsApp, or any other official sales channel, the customer confirms that they have read, understood, and agreed to this Cancellation, Refund, Shipping, and Product-Specific Policy.
2. No Cancellation Policy

Depending on the product ordered, this may include procurement, hatchery scheduling, feed production, medicine allocation, quality inspection, packaging, veterinary inspection, documentation, logistics planning, and transportation booking.

- The customer finds another supplier after confirming the order.

- Railway, courier, cargo, or road transportation has been scheduled.
- The product has been specially produced, procured, reserved, or customized for the customer.
3. No Refund Policy

4. Exceptions to the Refund Policy
In exceptional circumstances, the Company may provide a replacement, repair, credit, refund, or other suitable resolution where:
- An incorrect product was dispatched by ChickCoop®.
- The product was damaged before dispatch due to Company handling.
- A manufacturing defect is verified by the Company.
- A refund or replacement is required under applicable law.
Claims must be reported within 24 hours of delivery and must include:
- Order number and invoice copy.
- Clear photographs of the product.
- Photographs of the outer and inner packaging.
- A clear description of the reported problem.
- Unboxing or damage video, wherever applicable.
5. Feed Products Policy
This section applies to poultry feed, layer feed, broiler feed, breeder feed, concentrates, supplements, mineral mixtures, feed additives, nutritional products, and other feed-related products supplied by ChickCoop®.
5.1 Cancellation
Feed orders cannot be cancelled after confirmation because inventory allocation, packaging, loading arrangements, and logistics planning may begin immediately after the order is accepted.
5.2 Refund and Return
Feed products are non-returnable and non-refundable after dispatch. Once a feed product leaves the Company’s premises, its transportation, handling, exposure, and storage conditions cannot be independently verified. Returned feed products shall therefore not ordinarily be accepted.
5.3 Dynamic Shipping Charges
The final shipping amount may depend on:
- Delivery distance and destination.
- Total quantity, weight, and number of bags.
- Indian Railways freight charges.
- Courier, cargo, or road transportation charges.
- Loading and unloading charges.
- Labour and worker charges.
- Packaging and handling expenses.
- Local pickup or delivery vehicle charges.
- Fuel surcharges, taxes, and applicable logistics expenses.
Any shipping amount displayed on the website may be provisional. After the order is placed, ChickCoop® may ship the feed through Indian Railways, road transport, courier services, cargo operators, or another suitable transportation method.
The customer shall be responsible for paying the applicable shipping, labour, loading, unloading, handling, railway, courier, and transportation charges communicated by the Company. Dispatch may be withheld until all applicable charges are paid.
6. Day-Old Chicks, Poultry Birds & Hatching Eggs Policy
This section applies to day-old chicks, broiler chicks, layer chicks, native chicks, country chicks, breeder chicks, live birds, hatching eggs, fertile eggs, and other live poultry products.
6.1 Nature of the Products
Live poultry and hatching eggs are sensitive biological products requiring hatchery scheduling, incubation planning, vaccination, health inspection, handling, biosecurity compliance, and controlled transportation. Orders cannot ordinarily be reassigned or cancelled after these processes begin.
6.2 Cancellation and Refund
No cancellation shall be permitted after hatchery scheduling, production allocation, vaccination, documentation, or dispatch preparation has commenced. Live chicks, poultry birds, and hatching eggs are non-returnable and non-refundable after dispatch due to animal welfare, disease prevention, and biosecurity requirements.
6.3 Additional Transportation Invoice
ChickCoop® may issue an additional invoice at the time of shipping to cover railway booking, cargo charges, dedicated vehicles, courier charges, loading, unloading, labour, handling, veterinary compliance, packaging, and other transportation-related expenses.
The customer shall pay the additional transportation invoice before dispatch or within the period communicated by the Company.
6.4 Customer Verification Documents
Customers may be required to provide identity and address verification documents to validate the receiver and satisfy the requirements of Indian Railways, courier partners, cargo operators, veterinary authorities, transport agencies, or government departments.
Accepted documents may include:
- Aadhaar Card.
- Voter ID.
- Driving Licence.
- Passport.
- PAN Card, where applicable.
- Utility bill or other address proof.
- GST or business registration document.
- Any other government-approved identity or address proof.
Failure to provide the required documents may delay or prevent dispatch. Such delay shall not ordinarily provide a right to cancellation or refund.
7. Veterinary Medicines & Animal Healthcare Products
This section applies to veterinary medicines, vaccines, vitamins, minerals, supplements, disinfectants, pharmaceutical products, and other animal healthcare products.
Medicines and healthcare products cannot ordinarily be returned after dispatch or delivery because their storage temperature, handling, contamination risk, and integrity cannot be verified after leaving the Company’s authorized supply chain.
- No cancellation after dispatch.
- No return after delivery.
- No exchange after delivery.
- No refund except where required by law or approved by the Company.
8. FarmTech Products Policy
This section applies to FarmSence.ai devices, IoT systems, sensors, cameras, controllers, feeders, drinkers, automation equipment, electrical products, farm machinery, software licences, and other agricultural technology products supplied by ChickCoop®.
FarmTech orders cannot ordinarily be cancelled after procurement, configuration, customization, installation planning, dispatch scheduling, or shipment.
FarmTech products are generally non-refundable. Where an incorrect product, verified manufacturing defect, or confirmed transit damage is reported within the prescribed period, the Company may provide inspection, repair, replacement, credit, or another suitable resolution.

- Required regulatory or transportation compliance cannot be completed.
